PGDAY.EU 2009 / 20081222 Meeting

Introduction

The meeting takes place on monday december 22th at #postgresqlfr-ca on freenode. It starts at 19h00, ends at 20h30

People involved are :

  • Jean-Paul Argudo (jpa)
  • Damien Clochard (daamien)
  • Sébastien Lardière (sebl)
  • Guillaume Lelarge (gleu)
  • Stéphane Schildknecht (SAS)

The goal of the meeting is to discuss about the next PGDAY.EU, espesially the different locations we have contacted.

The final goal is to announce the place and date of PGDAY.EU 2009 during FOSDEM (Feb 7-8)

Reminder

Here's a quick description of the event as discussed in Prato with the PGEU Board :

  • Date : Autumn 2009
  • Place : Paris ( if possible )
  • Duration : 2 days ( possibly friday-saturday )
  • Expected attendees : from 200 to 300
  • Fees
  • 1 or 2 french tracks
  • 1 ou 2 english tracks
  • 1 dev room
  • 1 practical track if possible
  • Between 4 and 7 rooms
  • Free lunch ( cold buffet )

Where ?

So far we have contacted 17 different locations that are appropriate for this kind of event. Most of them are too expensive (more than 10000 € per day).

Basically we have 5 “appropriate and affordable” remaining places :

  • Cité des Sciences et de l'Industrie ( “city of sciences and industry” ) : this a very big museum in Paris dedicated to science. Lot's of Open Source events are organized there as they have a multi-media center. This place will be hard to get but if we have it, it will be for free. Which means we won't be allowed to make people pay an entry fee. TODO : jpa contact them again and tries to get a rendez-vous. http://www.cite-sciences.fr
  • société nationale d'horticulture française ( “French National Horticulture society”) : doesn't fit exactly to our needs, it's cheap (2500€/day) and it's available. Sounds like a good fallback. TODO : jpa goes there to see how it looks like. http://www.snhf.org/pages/rub/location_de_salle-9.aspx
  • La maison de la Chimie (“House of Chemistry”) : seems like a very “chic” but surprinsingly not that expensive (6000€/day) … TODO : SAS calls to see if they're avalaible. http://www.maisondelachimie.com
  • CNAM (“National Centre of Work and Arts” ) : Very renowned high school in France, it has it's own Metro station in Paris :) We're waiting for the answer of the director of the school, which won't arrive before january. TODO : daamien calls back, tries to get an answer… http://www.cnam.fr
  • Cité Internationale Universitaire de Paris ( “Internationnal Student city” ) : Very nice place, lot's of foreign student, very low prices (5000€/day) TODO: SAS calls back to get more info. http://www.ciup.fr/

We also have a place called “la cantine” where we can organize a party or something like that

In the same time, we have a “plan B solution” in strasbourg and a Plan C in toulouse

When ?

We want to do it on a friday-saturday in october or november

Let's eliminate the bad dates :

  • 23-24 october and 30-31 october are on a holiday period so it's a bad idea
  • 16-17 october there might be a big open source event in Lyon (JDLL)

Here are our best choices :

  • Fist Choice : 2-3 october
  • Second Choice : 20-21 november
  • Third Choice : 27-28 november

Any comment on these dates is more than welcome

Prices ?

We've discussed about prices, here's our first proposal :

  • 100 € for 1 day
  • 150 € for both days
  • more friendly prices for students, workless people, etc.

Sponsorship ?

We need to define quickly a “sponsorship grid”. We took example on PGDAY.IT :

We need to be more precised on each level of sponsorship. the goal is to be ready for FOSDEM and try to talk to representant of potential sponsors ( EDB, continuent, skype, etc…)

jpa will check with Joshua Drake to see if there's any chance that we get some help from the SPI

Who pays ? ;-)

Since the event is organized by PGFR and PGEU, we need to decide who gets the money coming from sponsors and entry fees. Along with this question, there are to others coming :

  • who gets the benefits if there's any ?
  • who pays the bills if we fail ?

We need to be very clear on these subjects

Gabriele : Can you send us more info about PGDAY.EU 2008 ?

In particular, we'd love to have an idea of what you're budget was.

If you still have a list of contacts of your sponsors that would help us a lot too…
